Privacy Policy

1 Overview

Mileback is an iPhone app that logs the drives you take for work, turns business miles into a tax deduction estimate at the IRS standard mileage rate, keeps track of work expenses and receipts, and creates reports for your taxes.

Mileback has no account, no sign-in and no Mileback server. Everything you record is stored on your iPhone. This policy explains exactly what the app touches, what it does with it, and what it never does. It is written to match the app's actual behavior, not a generic template.

2 What Mileback processes

Location

Used to detect when you start and stop driving and to measure each trip's distance and route. While you're parked, Mileback only watches a small area around where you stopped; precise GPS runs only while a drive is in progress. Trips and routes are saved on your iPhone only.

Motion & Fitness activity

If you allow it, Mileback asks iOS whether the phone was in a vehicle, on a bike or on foot during a finished drive, so bike rides and runs aren't logged as drives. The activity data is read on your iPhone and not stored or sent anywhere.

Trips, classifications and notes

Distance, times, start and end place names, business or personal, the gig platform you pick, and any notes you add. Stored on your iPhone only.

Expenses and receipt photos

Photos you take or pick of receipts, and the merchant, amount, date and category. Receipt text is read on your iPhone using Apple's on-device text recognition. Photos and details are stored on your iPhone only.

Vehicles, odometer readings and places

Vehicle names, odometer readings you enter, and places you save (such as Home or a pickup zone) with their location. Stored on your iPhone only.

Onboarding answers and settings

The platforms you drive for, your weekly-miles estimate, tracking rules, theme and reminder choices. Stored on your iPhone only.

3 What we don't collect

• No name, email or phone number. There is no account or sign-in in Mileback.
• No advertising, no advertising identifiers and no ad SDKs. Mileback does not track you across other apps or websites.
• No third-party analytics or crash-reporting SDK, so no usage events are sent off your device.
• We never sell or share your trips, locations, receipts or any other data. We don't receive them in the first place.
• No contacts, microphone or health data. When you pick a receipt from your photos, only the photo you choose is shared with the app.

4 Where your data lives

Everything Mileback stores lives in a database and files inside the app on your iPhone. The Home Screen and Lock Screen widgets read a summary (such as this month's deduction) from storage shared only between Mileback and its widgets on the same iPhone.

If you have iCloud Backup turned on in your iPhone's Settings, Apple includes Mileback's data in your iPhone's encrypted backup, like other apps, so it can come back when you restore a phone. That backup is handled by Apple under Apple's privacy policy; DhruvLabs cannot access it. Mileback has no cloud sync of its own.

5 When data leaves your iPhone

Place names (Apple)

To show a street or neighborhood name for where a trip started and ended, Mileback uses Apple's location services to look up the name for those coordinates. Apple handles these lookups under its own privacy policy; they are not sent to DhruvLabs.

Reports and images you share

PDF and CSV tax reports, monthly recap cards and Year in review images leave your iPhone only when you choose to share or save them through the iOS share sheet, and only to the destination you pick. Recap and Year in review images never include addresses or real routes.

6 Permissions we ask for

Location (Always)

To log drives automatically, including when the app is closed. You can use Mileback without it by adding trips by hand.

Motion & Fitness

Optional. Helps tell driving apart from cycling or running.

Notifications

Optional. For "Trip logged" alerts, the monthly recap, a year-end odometer reminder, and a reminder before a free trial ends. All are local notifications created on your iPhone.

Camera and Photos

Only when you scan or pick a receipt.

You can change any of these at any time in your iPhone's Settings app.

7 Purchases and subscription data

Mileback Pro is an optional subscription sold through Apple's App Store and managed with RevenueCat. Apple processes the payment: Mileback never sees or stores your card or payment details. RevenueCat receives an anonymous app user ID, your App Store purchase receipts and basic device and app information so the app can tell whether Pro is active. It never receives your trips, locations, receipts or any other data you record in the app. Apple's and RevenueCat's handling of this information is governed by their own privacy policies.

8 Third parties

Apple

Location services and place-name lookups, on-device text recognition for receipts, Motion & Fitness activity, notifications, iCloud Backup (if you turn it on) and App Store payments.

RevenueCat

Manages the Pro subscription status. Receives purchase information and an anonymous identifier only.

9 Your controls

• Delete a trip or expense: open it and tap Delete.
• Delete everything: Settings → Data & privacy → Delete all data permanently erases all trips, expenses, receipt photos, vehicles and places from your iPhone.
• Stop tracking: Settings → Tracking rules → turn off Automatic detection, or change Location access in your iPhone's Settings.
• Export a copy: Settings → Data & privacy → Export a copy creates a PDF or CSV you can keep.
• Uninstall: deleting the app removes its data from your iPhone. Copies in an existing iCloud Backup are managed by Apple in your iPhone's Settings.

10 Children's privacy

Mileback is made for adults who drive for work and is not directed at children under 13. We do not knowingly collect information from children, and because Mileback has no server, there is no server-side data about anyone.

11 Changes to this policy

We will update this page if what Mileback collects or how it's used changes, and note the date of the most recent revision above.
